Temporary Resource Planning Administrative Assistant – Immediate Hire
Location: Waimea, Big Island of Hawaii ***Please note this position is 100% in office, and only candidates on the Big Island will be considered ***
Type: Temporary, Full-Time (Mon-Fri 7:30am – 3:30 PM -expected to be one year in duration with the possibility of becoming permanent)
We are seeking a proactive and detail-oriented Administrative Assistant to support our Resource Planning team in Waimea. This temporary role is essential in coordinating administrative functions and contributing to resource planning activities to ensure smooth and efficient operations.
Key Responsibilities:
Administrative Support
- Schedule basic service jobs
- Process completed field job documentation
- Update and maintain the Repair Order (RO) database
- Create and manage SAP work orders; scan and upload documentation into SAP
- Generate SAP purchase requisitions and service entry sheets
- Maintain and update replacement logs
- Assemble minimum job packages including:
- Google Earth Map, Single Line Diagram, Standard Framing, Material List, Transformer and Conductor Sizes
- Create SAP notifications and work orders for pole replacement projects
- Coordinate stakeout requests with Survey department
- Submit drawing and Preliminary JP Application Form, including easement drawings where applicable
- Request land easements as needed (only if not within public Right-of-Way)
- Enter Construction Units (CUs) and materials into SAP work orders and define "need by" dates
Qualifications:
- Proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint)
- SAP experience highly preferred
- Strong background in invoice processing, developing and updating financial models and forecasts
- Ability to identify financial variances, analyze root causes, and communicate insights clearly
Compensation is unique to each candidate and relative to the skills and experience they bring to the position. The salary range for this position is typically $23-25/Hr. This does not guarantee a specific salary as compensation is based upon multiple factors such as education, experience, certifications, and other requirements, and may fall outside of the above-stated range.
