Key Responsibilities of the Project Assistant include:
- Answer phones, responding to emails, managing correspondence.
- Schedule appointments, meetings, and conferences, and coordinate logistics such as travel arrangements, accommodations, and meeting room bookings.
- Maintain and update various databases, spreadsheets, and records, ensuring accuracy and confidentiality of information.
- Prepare and edit documents, reports, and presentations, utilizing word processing, spreadsheet, and presentation software.
- Assist in the preparation and distribution of meeting agendas, materials, and minutes.
- Handle incoming and outgoing mail, including sorting, distributing, and filing documents.
- Manage office supplies, inventory, and equipment, and coordinate repairs and maintenance when necessary.
- Assist in the coordination and execution of special projects and events, including arranging logistics, managing registrations, and coordinating with vendors.
- Provide administrative support for HR-related tasks such as maintaining employee records, processing paperwork, and coordinating new employee onboarding.
- Collaborate with cross-functional teams and departments to facilitate effective communication and information flow.
- Maintain confidentiality and handle sensitive information with professionalism and integrity.
- Develop and maintain a comprehensive filing system, ensuring efficient document storage and retrieval.
- High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
- Proven experience as an administrative assistant or in a similar role, demonstrating strong organizational and multitasking skills.
- Proficient computer skills, including MS Office (Word, Excel, PowerPoint), email management, and internet research.
- Excellent verbal and written communication skills, with the ability to interact effectively with individuals at all levels of the organization.
- Strong attention to detail and problem-solving abilities.
- Ability to prioritize tasks and work independently, with minimal supervision, while also being a collaborative team player.
- Exceptional time management skills and the ability to meet deadlines.
