ESCROW MANAGER  #16265

 

Summary

Manage the daily operations of the office to build and maintain customer base and profitability. Understand, develop and maintain a comprehensive unit that works together to accurately open, process and close escrow transactions complying with the terms of the purchase contract and/or Escrow Agreement. Presents, follows and maintains all company initiatives with staff to ensure comprehension and conformance.

Essential Duties and Responsibilities
  • Insure that all terms and conditions of the purchase contract and/or Escrow Agreement (including addendums) are complied with, by reading and comprehending escrow contracts, documents, reports and correspondence and insuring that escrow entries are correct and properly noted on all settlement statements.
  • Use internal systems and other computer programs to open, track and process escrow transactions in a timely and accurate manner.
  • Communicate accurately with all persons involved in an escrow transaction and co-workers, both in person and over the phone, via email and/or text to ensure that work is completed in an accurate and timely manner.
  • Insure compliance with all state and federal laws governing escrow transactions.
  • Work cooperatively with all Escrow, Title Operations and Administration staff.
  • Take responsibility for decision making and seeks advice when needed.
  • Work individually and as an active team member helping to achieve department goals.

 

Non-Essential Duties and Responsibilities
  • Actively pursue and develop new clientele, which includes making public relations calls, attending industry related functions, providing educational support to clients when requested and may include speaking engagements.
  • Assist in planning, coordinating and implementing department and company events.

Supervisory Responsibilities

This position has supervisory responsibilities for the entire branch staff.
  • Effectively communicate by setting clear expectations and standards of performance for staff, holding employees accountable to those standards. Lead weekly staff meetings by developing agendas and prioritizing items for best use of time.
  • Instruct, train and supervise Escrow Associate(s) and Escrow Officer(s).
  • Promote leadership and initiative in staff, support staff members to be heard and communicate with each other and gives direction effectively by providing expertise and support to employees.
  • Provide guidance and leadership resources to ensure successful implementation of all corporate and department initiatives
  • Promote continuous learning and improvement. Provide resources and/or expertise and develop staff to perform at optimum level of effectiveness and efficiency.
  • Evaluate personnel and provides written assessment through annual evaluation. Reviews and recommends salary adjustments. Handle tasks related to coaching, disciplining and termination of employees
  • Conduct interviews to screen and select qualified candidates for department
  • Responsible for administrative matters including monitoring payroll and overtime, vacation scheduling, and general office workflow

Qualification Standards/ Required Knowledge

To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below represent the knowledge, skill, and/or ability required:
  • Knowledge of title process, escrow process and company policies/procedures.
  • Professional advocate who creates a positive company experience with customers, business associates, vendors and fellow employees. Treats others with respect and courtesy.
  • Strong organizational skills, ability to meet continuous deadlines and coordination between all persons involved with the escrow transaction.
  • Excellent interpersonal and communication skills to work with people individually and as a versatile team player. Possesses the ability to handle difficult or demanding clients.
  • Technically proficient in Windows, Microsoft Office applications (especially Word, Excel, Access, and Power Point), Softpro and other computer applications.
  • Must have the ability to consult with principals and/or their agents to resolve discrepancies and organize/prioritize workflow.
  • Basic business writing skills using a computer and information technology.
  • Maintains confidentiality at all times.
  • Ability to speak, read and write fluently in English.
  • Valid Driver’ s License.
  • Notary Public required.

 

Education and/or Experience
  • College graduate preferred and/or related work experience.
  • 3 – 5 years of escrow experience required.
