Position Summary
Under the direction of the Customer Support Manager, the Customer Service & Order Entry Representative provides excellent customer service, processes customer orders and invoices, and performs administrative duties to support daily department operations.
Essential Duties & Responsibilities
- Answer incoming customer service and sales support calls, assisting customers, brokers, sales representatives, and delivery personnel.
- Receive, enter, and process customer orders for local, neighbor island, mainland, export, and inter-company accounts.
- Process orders and invoices through Electronic Data Interchange (EDI) systems.
- Accurately prepare invoices and post batches in Great Plains (GP) according to company procedures.
- Maintain physical and electronic records, files, reports, and invoices.
- Perform general administrative duties including data entry, filing, scanning, photocopying, emailing, and document preparation.
- Coordinate with internal departments including Sales, Accounting, Warehouse, Delivery, and Administration.
- Work independently while contributing positively to a collaborative team environment.
- Maintain a clean, organized, and professional workspace.
- Associate's degree in Business or a related field, or equivalent combination of education and experience.
- Minimum one (1) year of customer service experience, preferably with order entry responsibilities.
- Strong computer proficiency, including Microsoft Word and Excel.
- Experience working with databases, ERP, or accounting systems preferred.
- Ability to type at least 25 words per minute and use a 10-key calculator by touch.
- Strong verbal, written, and telephone communication skills.
- Excellent organizational skills and attention to detail.
- Ability to perform basic mathematical calculations.
- Ability to prioritize tasks and manage multiple responsibilities in a fast-paced environment.
- Ability to sit, stand, walk, bend, and reach throughout the workday.
- Occasionally lift and move up to 30 pounds.
- Ability to operate standard office equipment and perform computer-based work.
