Client Relations Associate (Investment Operations)
Job Description
Bishop & Company is seeking a Client Relations Associate to support a financial firm in the Honolulu area.
In this position, you will manage and oversee investment-related transactions once client authorization has been received. Responsibilities include ensuring each transaction is processed accurately, in compliance with requirements, on schedule, and with complete documentation from start to finish. You will work closely with the firm’s Financial Planners to carry out and implement client investment strategies. This is an operations-driven role and does not involve sales responsibilities.
This role is well suited for someone with prior experience in investment operations or advisory support who values accuracy and understands how strong operational execution contributes directly to client confidence and trust.
Key Responsibilities
- Process and complete investment-related transactions, including account openings, transfers, rollovers, contributions, distributions, and allocation updates.
- Review and prepare documentation to ensure accuracy, completeness, required signatures, and compliance standards are met.
- Submit, monitor, and follow up on paperwork with custodians through final funding.
- Identify and resolve NIGO (Not In Good Order) items promptly.
- Maintain organized, audit-ready client records within CRM and document management systems.
- Track transaction progress to ensure timely and accurate execution.
- Work closely with Financial Planners to confirm instructions and execution details.
- Communicate professionally with clients to obtain signatures, clarifications, or additional documentation as needed.
- Escalate discrepancies, errors, or operational concerns appropriately.
- Assist with compliance reviews and audit-related requests.
Required Experience & Qualifications
- Minimum of 2 years of experience in investment operations, client service, or transaction processing within a financial advisory, brokerage, or wealth management setting.
- Strong understanding of investment account types and transaction workflows (e.g., brokerage, advisory, retirement accounts).
- High attention to detail with strong organizational and time-management skills.
- Ability to manage multiple client requests and deadlines simultaneously.
- Excellent written and verbal communication skills.
- Proficiency with CRM systems, custodial platforms, and standard office software.
Preferred Qualifications
- Experience supporting Financial Planners or Advisors directly.
- Familiarity with custodians such as Schwab, Fidelity, Pershing, or similar platforms.
- Working knowledge of basic regulatory and compliance requirements related to investment processing.
- Experience in a boutique or relationship-focused wealth management firm.
