Bishop & Company is seeking an Administrative Assistant for a reputable organization in Honolulu, HI.
Responsibilities:
• Answers phones, takes messages, screens calls and greets visitors (internal and/or external).
• Composes and/or responds to complex correspondences; updates department documents as instructed by supervisor.
• Coordinates and schedules meetings for the department.
• Responsible for general clerical duties including, but not limited to, managing paperwork, handling department mail, data entry, word processing, and making copies.
• Maintains confidential files and records.
• Compiles data and prepares reports and presentations.
• Orders department supplies and scheduling equipment repairs.
• May be required to track expenditures to include billing, payment collection, payment authorization, as well as managing expense reports.
• Provides administrative support to other departments as needed during slow periods.
Minimum Qualifications:
• Bachelor’s Degree or equivalent combination of education, experience and training.
• Two (2) years of administrative experience.
• Experience working in a school environment.
• Certification in CPR/First Aid or other emergency procedures is preferred.
• Working knowledge of relational databases, student information systems, internet applications, the use of email and other communication applications, electronic calendaring, productivity tools and software.
• Type 40 wpm.
• Demonstrated proficiency in using Windows, Microsoft Office applications (Word, Excel, PowerPoint, Outlook) and Google applications.
• Excellent keyboarding & proofing skills.
• Knowledge of Senior Systems preferred.
• Ability to manage multiple tasks without loss of efficiency or accuracy.
• Able to perform in situations requiring speed, deadlines, or productivity quotas.
• Able to carry out duties and responsibilities with limited supervision.
• Ability to read and interpret documents such as statistical records, spreadsheets, travel documentation, safety rules, operating and maintenance instructions, and procedure manuals.
• Ability to compose memos, reports and business correspondence.
• Ability to communicate effectively, both verbally and in writing with students, parents, faculty and staff.
• Exchanges non-routine information using tact and persuasion as appropriate, requiring good oral and written communication skills.
• Able to understand, remember and follow verbal and written instructions in the English language.
• Excellent word processing and editing skills.
• Ability to perform basic math such as addition, subtraction, multiplication, and division.
